We will treat your personal data confidentially. It will not be sold or sent to any other organisation without your express permission (there is one exception to this, detailed in the next section). Personal data that you submit to Wessex Medieval Alliance may be seen by all Founding and Senior Members.
Passing your data on to event organisers
It is a often a condition of attendance at events that we must provide limited personal data to event organisers in respect of our members. Where we do this we require the recipients to treat your data confidentially. Typically data we will be asked to provide will include your name and name(s) and ages of any children attending with you. We may also be asked for a contact telephone number and your car registration.
It is a condition of membership of Wessex Medieval Alliance that you agree to the above data being passed to event organisers. If you do not agree to this condition you may not attend such events that require this (eg: Tewkesbury Medieval Festival).
Data collected in relation to children
Family Membership requires that you name each individual, including children. It is helpful, but not compulsory (except noting the above condition) if you provide ages of your children as this helps us to tailor the activities that they can be involved in.
Web browser cookies
Wessex Medieval Alliance takes the privacy of our website users seriously. We use essential tracking cookies to help you navigate this website. However we welcome you to opt-out of nonessential tracking cookies (like website analytics) at any time by updating your web browser preferences.
Storing data on information retrieval systems
Your data is held on a cloud based electronic retrieval system. It is regularly backed up onto encrypted media.
The cloud based system uses servers outside of the EU, hosted in the USA. Data is transferred via SSL, with AES-256 bit encryption as standard. Our cloud service provider adheres to the U.S.-EU Safe Harbour framework permitting data to be stored outside the EU.
Data is only stored for so long as you are a member and for three months post-cessation of membership. The latter is in case your membership has accidentally lapsed.
Requests for data and requests to have data amended.
You may request a copy of your data via email or in writing by contacting us at email or postal address, below. In line with the guidance from ICO there will be a charge of £10 for this information.
You may also request updates to your information at any time via the same methods of contact. There is no charge to update your data.
